Process
How a project works
Hiring a small studio instead of a big agency can feel like a risk. This is how we make it a safe one: a written scope, fixed review points, and you always know what happens next.
-
A first conversation
Day 1
You send a message, WhatsApp or call. We reply within one working day, usually with a few questions. Then we talk for about 20 minutes, by phone or video, about what you need, who it’s for, and your timing and budget.
If Nyoni isn’t the right fit, we’ll say so and, where we can, suggest someone who is.
-
A written quote
Within 2 working days of the call
You get a quote that sets out exactly what’s included, what isn’t, the price, the timeline, the number of revision rounds and the payment schedule. If you need a formal proposal for a board or procurement committee, we’ll write it in that format.
-
Deposit and kick-off
Week 1
Once you accept the quote and the deposit clears, the project is booked into the calendar. You get a short questionnaire and a list of what we’ll need from you (logos, text, photos, access), and we agree the dates for each review.
-
Design
Varies by project
We start with the structure and the words, then the design. You see the work at agreed points, not just at the end, and give feedback in one consolidated round each time. Feedback by email, WhatsApp voice note or a call all work.
-
Build or production
Varies by project
Websites are built and tested on real phones, with accessibility and speed checks. Reports are typeset and proofed. Animations are rendered and checked on the screens they’ll play on. You review a working version before anything goes live.
-
Launch and handover
Final week
After the final payment, the site goes live or the files are delivered: editable sources, exports for print and web, and a short guide. Websites include an hour of training on the dashboard. We fix anything that isn’t working for 30 days at no charge.
-
Afterwards
Ongoing, if you want it
If you’d like ongoing help, a Nyoni Care plan covers updates, hosting, content and small design jobs. It’s optional, and month to month after a three-month minimum.
Working with organisations
Procurement shouldn’t be the hard part. This is what we can provide.
- Quotes and proposals
- Formal quotes on letterhead, and full proposals with methodology and timelines for tenders and RFQs.
- Invoices
- Pro-forma and tax invoices with full business details. Purchase orders and LPOs are accepted.
- Currency
- Billing in Kenya shillings or US dollars, by bank transfer, M-Pesa or card.
- Compliance documents
- KRA PIN certificate and business registration documents on request.
- Confidentiality
- We’re happy to sign your NDA before we discuss anything sensitive.
- Data protection
- Personal data you share is handled in line with Kenya’s Data Protection Act, 2019. A data processing agreement is available.
- Contracts
- Every project has a written agreement covering scope, payment, ownership and timelines.
What we need from you
Most delays in design projects come from waiting for content or feedback. The quickest projects have:
- One decision-maker, or one person who gathers everyone’s feedback into a single reply.
- Content on time: text, photos and logos by the dates we agree. If writing is a struggle, copywriting can be added to any package.
- Feedback within the agreed window, usually three working days.
If your side runs late, the timeline moves by the same amount. That’s written into the quote so nobody is surprised.
Tell us what you’re working on.
A few lines is enough. We’ll reply within one working day with questions or a rough figure, and send a written quote once we’ve talked.
Or call +254 741 049 125, Monday to Friday, 8am to 6pm.
